Employee Rehire Eligibility Check Process

This process outlines the steps the recruiting team should follow to determine if a former employee is eligible for rehire for a specific team before extending an offer.

Step 1: Initial Candidate Screening & Inquiry

  • Confirm Prior Employment: During the initial screening/interview process, confirm if the candidate has previously worked for the company.

    • Can be part of the screening

  • Gather Basic Details: If yes, request the candidate's approximate dates of employment and the team/department they worked in.

Step 2: Check Rehire Eligibility Status

  • Access HRIS (Rippling):

    • Search for the former employee's record using their name and/or last known employee ID.

    • Locate the termination information section.

    • Determine Rehire Status: Check the designated field for Rehire Eligibility (e.g., Eligible, Not Eligible, Eligible with Restrictions).

Recruiting Team Action: Before extending an offer, the recruiting team MUST verify the candidate's rehire status using the official company report.

Step 3: Review Termination Details & Department Feedback

If the Rehire Status is "Not Eligible" or "Eligible with Restrictions," or if the current hiring manager has concerns:

  • Review Termination Reason: Check the documented Reason for Separation. Common red flags include termination for cause, policy violations, or poor performance.

  • Contact Former Manager/HR Partner (If Needed): If the status is ambiguous or requires clarification, the Recruiter should consult with the HR who supported the candidate's former department.

    • Goal: Confirm the specific reasons for the previous separation and any restrictions on rehire (e.g., "Eligible only for non-management roles," or "Ineligible for former team").

Step 4: Final Decision and Offer Extension

  • Eligible for Rehire:

    • If the status is "Eligible" and the termination was amicable (e.g., voluntary resignation in good standing), proceed with the standard offer extension process.

  • Ineligible or Restricted:

    • If the status is "Not Eligible," the offer cannot be extended. The Recruiter must inform the hiring manager and close the candidate's application.

    • If the status is "Eligible with Restrictions" and the role/team violates those restrictions, the offer cannot be extended. If the role meets the restrictions, document the clearance from the HR before proceeding.

Step 5: Documentation

  • Record: Ensure the final rehire eligibility check, including the status from the Rippling Report is documented in the candidate's profile in Ashby (ATS)
