Parent Portal Signature Reminders

We know how busy you are, and ensuring all necessary documents and session notes are signed is crucial for your clients' progress and for smooth billing. To make this process easier and more efficient for you and your families, we've implemented an improved system for sending signature reminders via the Parent Portal.
1. Why Signatures Are Important
Client Progress: Signed documents and session notes confirm treatment delivery and progress.
Billing & Compliance: Payers require signed documentation for services to be billed accurately and on time.
2. How Reminders Work
Our system will send reminders for missing signatures to parents/guardians directly through the Parent Portal. These reminders will be sent:
Automatically every Friday at 9:00 AM Eastern Time (ET).
3. What the Reminder Looks Like
Families will receive a single, consolidated message that includes both an email and a push notification (if they have the app installed). This message will clearly state what needs signing:
Message: "One or more of [Client Name]'s appointments are missing your signature. Click here for more details."
4. How Parents Can Easily Sign
The "Click here for more details" link in the reminder message is a link designed to take parents directly to the exact page where they need to sign, whether they are using the mobile app or the web portal.
If using the Mobile App:
Click the link in the email or push notification.
They will be directed to open the Parent Portal app.
After signing in, they will be taken directly to the Document Page (for unsigned documents) or the Session Confirmation Page (for unsigned session notes) within the app.
If using a Desktop/Web Browser:
Click the link in the email.
They will be directed to the Parent Portal website.
After signing in, they will be taken to the relevant page to sign the document or session note. If a direct link to the document/note isn't possible, they will be taken to the main download/document page:

5. Your Role in Supporting Families
Communicate: Inform families about these new reminders and encourage them to utilize the Parent Portal for signing.
